JOB SUMMARY
As a Construction Administrative Assistant, you will provide administrative support to the construction management team. You will help track construction schedules, invoices, job costs and construction documents.
PRIMARY DUTIES/RESPONSIBILITIES
· Follow up on project items for multiple properties
· Prepare reports, communications, meeting agendas and minutes.
· Utilize construction management software and/or tracking systems to keep project information current and accessible to a variety of users.
· Prepare and manage construction contracts.
· Manage subcontractor RFI inquiries and preparing responses.
SECONDARY DUTIES/RESPONSIBILITIES
· Prepare permits and applications.
· Receive, organize, distribute, and file all documents for new and ongoing projects and properties.
· Assist with vendor approval and setup for payment – insurance, tax info, etc.
· Track, review and code invoices, and submit for approval and payment.
· Handle special projects and other administrative duties as assigned.
KNOWLEDGE/SKILLS/ABILITIES - REQUIRED
· Must be authorized to work in the United States
KNOWLEDGE/SKILLS/ABILITIES – PREFERRED
· High school diploma or equivalent required; college degree preferred.
· Experience in administrative support preferred.
· Construction background a plus.
· Ability to communicate clearly.
· Ability to write clear and concise emails.
· Excellent execution skills, highly focused task completion, follow-up, communication (written and verbal) and time management skills.
· Requires resourcefulness, strong organization skills, and flexibility with hybrid work location/schedule.
· Positive outlook, desire to support and interact with others daily in an exciting, challenging, and ever-changing work environment.
· Ability to meet deadlines while maintaining a professional attitude; great team-player and ability to accept feedback.
· Must exercise initiative and achieve objectives with minimal supervision.
· Must be detail-oriented and a problem-solver able to deal with complex situations.
· Strong computer skills required, proficiency in full Microsoft Office suite, especially Word and Excel. Experience in Adobe Acrobat and Microsoft Project preferred.

• Regular and consistent attendance and the ability to sit and work with hands and arms for at least eight (8) hours per day and five (5) days per week.
• Physical ability to stand, reach, lift, bend, kneel, stoop, climb, walk, crawl, push and pull items weighing up to 20 pounds.
• Stand and move throughout the workplace.
• Add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage.
• Have consistent and reliable onsite attendance.
• Proficient interpersonal relations and communicative skills in English;
• Interpret and follow a variety of instructions and procedures furnished in English - written, oral, diagram, or schedule form.
• Write routine reports and correspondence.
• Meet daily, weekly, monthly, quarterly, yearly and other deadlines consistently.
• Work under pressure with changing, ambiguous priorities.
• Communicate effectively and promptly to clients, vendors or employees of the organization.
• High level of manual dexterity to adeptly type and use computer equipment.
• Auditory and visual skills – Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
• Ability to work overtime occasionally at the last minute.
• Occasional Travel may be required.
• Drive a car.
EXPECTED HOURS OF WORK:
The employee will be expected to work 40 hours weekly and must be available and onsite during early hours, Monday through Friday and some Saturdays.
